1. Information We Collect

Information you provide. When you submit our order form, we collect:

• Your full name and email address;
• The meet or race name, and your school or team affiliation (if provided);
• Bib number, lane or position, heat/flight/section, round, and event details;
• Defining physical features you provide to help us locate you on tape;
• The clip tier(s) you select and any optional notes;
• Payment information, which is collected and processed by Stripe (we do not store full card details).

Audio and video footage. We capture footage at track and field events under filming agreements with meet organizers, host institutions, or broadcast partners. This footage may include you, your teammates, competitors, spectators, and venue staff.

Site analytics. We may use standard server logs and lightweight analytics to understand site traffic, identify technical issues, and improve the Service. These typically include IP address, browser type, referring page, and pages visited.

2. How We Use Your Information

We use the information we collect to:

• Locate, edit, and deliver the clip(s) you ordered;
• Process and confirm your payment;
• Communicate with you about your order, including delivery notifications and any follow-up requests;
• Issue refunds where applicable;
• Maintain records of orders and footage;
• Improve our service and produce promotional materials;
• Comply with legal obligations.

3. Sharing With Third Parties

We share information only as needed to provide the Service:

• Stripe for payment processing;
• Formspree (or similar) for receiving form submissions by email;
• Email service providers we use to send delivery notifications;
• Cloud storage and editing tools used to produce your clip;
• Government authorities or law enforcement, if required by law.

We do not sell your personal information.

4. Footage Capture at Events

We film at meets under agreements with meet organizers, host institutions, or broadcast partners. Our right to capture, retain, and commercialize footage from any given event is governed by the terms of that agreement and by the rules of any applicable governing body (such as the NCAA, NFHS, or similar association). We strive to comply with all such terms and rules. While we focus our coverage on athletes whose clips have been ordered, others present at the venue may appear in background footage incidentally.

If you would like us to remove identifiable footage of yourself from our portfolio or marketing channels, contact us at go@racedayclips.com and we'll process your request promptly.

5. Minors

Many of our customers and subjects are minors. We do not knowingly collect more information from minors than is necessary to fulfill an order. If you are under 18, you should only submit the order form with a parent or guardian's permission. If you believe we have collected information from your child and you would like it removed, please contact us.

6. Data Retention

We retain order information for as long as needed to deliver the Service, support customers, resolve disputes, and comply with our legal obligations. Raw event footage may be retained for portfolio and quality purposes; we may delete or anonymize footage upon request, subject to applicable law.

7. Your Rights

Depending on where you live, you may have rights to:

• Access the personal information we hold about you;
• Request that we correct or update inaccurate information;
• Request that we delete your personal information, subject to legal exceptions;
• Object to or restrict certain uses of your information.

8. Security

We use reasonable administrative, technical, and physical safeguards to protect personal information. No system is perfectly secure, however, and we cannot guarantee the absolute security of information transmitted to or stored by us.

9. International Visitors

The Service is operated from the United States. If you access the Service from outside the United States, your information may be transferred to, stored, and processed in the United States.

10. Changes to This Policy

We may update this Privacy Policy from time to time. The "Last updated" date above indicates when the policy was most recently revised. Changes take effect when they are posted.
